The wellbeing of our staff and clients is our number one priority at Sparsholt Conferences and Events, which is why we have invested to ensure our business has adapted to be Covid-19 secure.
Following government guidance, it has been great to welcome back our Sports Centre clients since it re-opened on July 25. We are excited that we are now able to host our guests and clients for meetings of less than 30, and look forward to welcoming larger conferences and exhibitions from October 1 2020.

We have reviewed our capacity taking account of 2m and 1m+ social distancing. Our capacity chart gives you an idea of the numbers we are able to accommodate, but please do speak to the events team to discuss individual arrangements. Westley Court can also be booked privately for your group, with en-suite accommodation for up to 25 delegates.
With investment in the latest video-conferencing technology, Sparsholt Conferences and Events can link delegates sitting in Gilbert White or Cobbett’s meeting rooms to any colleagues who may be shielding or based elsewhere, so that you can maintain your desired numbers and still share presentations.
A camera can track the presenter’s movements and audio allows questions from the floor, resulting in a more natural presentation. Depending on your platform of choice (e.g. Microsoft Teams, Zoom), you will also be able to record the meeting, view your remote delegates on the large screen, accommodate up to 100 participants remotely, run break out rooms, and provide subtitles.
For those delegates on site, whilst social distancing is in place, we will be offering individually plated meals rather than a buffet. Our light and airy Conservatory, adjoining Gilbert White and Cobbett’s allows your delegates to spread out further during breaks. Please speak to our events team regarding your hospitality requirements.
With doors to the outside, delegates can take advantage of the fresh air and space which comes with our 450 acre setting. Windows and doors can be left open for extra ventilation during meetings – no city noise here, instead peace and quiet from our rural setting. Our air conditioning units and water have all been checked and approved for safe use.
Our newly introduced one-way system brings delegates through Westley Court Reception where there is ample space for a welcome desk and a hand sanitiser station if you wish. Delegates can then follow the signs to either Cobbett’s or Gilbert White. Doors to the outside in all meeting rooms allow delegates to return easily to the Westley Court entrance.
Our signage directs delegates to Westley Court and its own carpark without the need to check in to the College reception. On-site signage politely reminds delegates to follow health and safety procedures including social distancing and extra hand washing, with floor stickers indicating the one-way system.
We have instigated extra cleaning of high traffic areas; and space out bookings so that cleaning can take place between each meeting. For larger groups, additional lavatory facilities can be provided by opening up our ground floor en-suite bedrooms.
Sparsholt Conferences and Events recognises this is an uncertain time, so we have revised our terms and conditions and can offer free cancellation up to 2 weeks prior to an event, if cancellation is necessary due to Covid-19.
